Talk to a few people in your group to find out what they’re interested in — you might be surprised! People go outdoors for different reasons: to be active, relax with friends, or discover something new.

Check out the Places to Explore section for ideas.

Once you’ve picked a place, get in touch with them.

Questions you might ask include:

  • Do they offer group activities?
  • Do you need to book in advance?
  • Are there coach restrictions?
  • Are there busy days to avoid?

We’ve listed a few useful contacts here

Transport can get booked up quickly, especially in spring and summer.

We’ve listed some useful Transport contacts here, including private hire and public transport.

Bus size or site rules might limit numbers.

You might also choose to keep the group small to make things easier. Don’t feel pressured to include everyone — if it’s popular, you can always plan another trip!

Use an online form to manage sign-ups and collect info you need such as emergency contacts and access needs.

Don’t do it all yourself! Ask others to help you with the orgainsing.

Things others might help you with include

  • Promoting the trip
  • Taking bookings
  • Safety and equipment
  • Refreshments
  • Talking to the bus company

It’s helpful to have at least 3 organisers on the day so you can enjoy it too.

Once you’ve chosen your location, do a site visit.

Some useful things to check include:

  • Coach parking
  • Toilets and facilities
  • Walking routes (walk slowly — it always takes longer with a group!)
  • Lunch spots
  • Safety issues
  • If there is good phone reception

Pick up free maps and leaflets to share with your group.

Do a risk assessment after you have visited the site so you can plan your trip safely.

Things you might want to check up on include:

  • What equipment you will need to make things safe and easy for people
  • What you will do in a medical emergency
  • What people should bring to stay comfortable

Check the Health & Safetly page for more information.

Being outdoors and having space to explore is enough to keep everyone happy, time flies as people relax. But it’s good to have a few activities ready just in case.

Some sites have play areas or children’s activities. You could also bring simple outdoor art or craft supplies.

Setting up a way to contact eveyone easily can be really useful.

It can help you share key info like:

  • What to bring
  • Emergency contacts
  • Pick-up times

Don’t forget to send reminders more than once!

Photos and videos are a great way to remember the day and show others what to expect on future trips.

But check with your group first — some people may not want to be filmed. Check the Health & Safetly page for more information.

Food is a big part of Flavours trips!Plan where and when you’ll eat so everyone can relax and enjoy the view.

You could ask people to bring something to share and a picnic mat to sit on.

We’ve put some more information about food (& farming!) in this section.
